VISA Requirements

VISA Acquisition Procedure

Puerto Rico is honored to host the World Robot Olympiad International Final 2026.

As a United States territory, Puerto Rico follows all U.S. entry and immigration requirements. This guide outlines the coordinated process among Puerto Rico authorities, U.S. federal agencies, and participating countries to ensure a streamlined, efficient, and well-organized visa approval process, facilitating timely entry and a successful experience for all participants.

Part 1

Host Country (Puerto Rico, USA)

  1. 1

    Distribution of Official Documentation

Since January 1, 2026, Techno Inventors has been distributing dedicated Google Drive folders for each participating country. Each folder is clearly labeled with the country name and includes:

    • The official invitation letter
    • A standardized Google Sheet for data collection

Each Google Sheet contains specific columns depending on the type of visa required for each country.

The Google Sheet must be completed only for:

    • Countries classified under B1/B2 visas
    • Countries with special visa exceptions
    • Delegation members from ESTA/VWP countries who must follow the B1/B2 process

    Mandatory Information for Applicable Participants

    • Full Legal Name
    • Name of Responsible Person
    • Date of Birth
    • Passport Number
    • DS-160 Confirmation Number (once completed)
    • IVR – Immigrant Visa Reference Number (used to schedule visa appointments after online registration – MUST BE EXPEDITED)
    • Relationship to the delegation
    • Inquiry Form – Optional
    • Invitation Letter – Optional
    • Identification by Country – Optional

Important: To expedite the visa process, National Organizers are strongly encouraged not to wait until national events are completed to submit information. All confirmed or anticipated travelers, including staff, coaches, and delegation members, should be entered as soon as travel intent is known. Early submission significantly accelerates coordination and processing timelines.

  2. 2

    Official Invitation Letters

The Puerto Rico Department of State will submit official invitation letters directly to the U.S. Embassies of each country to prioritize visa reviews and accelerate appointment scheduling.

All visa applications must be requested as “EXPEDITED”.

  3. 3

    Final Delegation Submission

After each National Event, the National Organizer must submit a Second Sheet containing the complete and updated delegation data.

This finalized list enables the host country to verify information and provide support for embassy and visa processing.

This requirement applies to all WRO countries to allow proactive assistance should any ESTA or VWP issues arise. For ESTA/VWP applications, the ESTA number must be written under the DS-160 Confirmation Number column, and the IVR column must remain blank.
